Hi all,
As mentioned previously, we are migrating from Google G Suite to Microsoft Office 365 on April 15th, 2019. This email outlines the steps leading up to the changeover and what to expect the day of.
This week we are copying over all of your older emails and Google Drive files. To ensure the emails and files remain in sync:
1. Do not delete or move any emails received before February 1st, 2019.
2. Do not delete any google drive files, as they will reappear in OneDrive after the migration.
For the day of migration, April 15th, each user will need to do the following:
1. Log onto outlook.com with your Delta 9 email address and new password.
a. The IT team will be providing you with your new password before April 15th
2. Log onto Gmail one last time to check to make sure no email was received there during the switchover.
a. The switchover is happening late at night on the April 14th
b. There is a brief period of 10-15 mins that mail could be received in Gmail and not in office 365. Please verify by checking Gmail one last time
3. Check on OneDrive and share the files with those who need to see them.
a. All of your files currently hosted on Google Drive will be migrated to Microsoft OneDrive, which is an application on your computer, or you can access it through office.com with your Delta 9 Email account. If you have shared these files on Google Drive with other people, the sharing doesn’t always copy over. You may need to re-share the files in OneDrive.
4. Open the Outlook application on your computer.
a. The IT Team is launching an application that will set up your new account on the Outlook application on your computer. If you currently use, or have used in the past, Outlook to access your Gmail emails, we will need to replace the profile for the Office 365 version.
5. Set up your new email account on your phone.
a. If you get your Delta 9 email on your phone right now, you will need to set up the account again to work with Office 365. We will be sending out an email to tell you how to do this yourself. There will also be in-person help available on April 15th for those that need it.
Let us know if you have any questions or comments. We know that this is a lot of information, but the IT Team is here to help.
